GatherDwell (“we,” “us,” or “our”) is a property management platform designed for landlords and property managers based in Toronto, Ontario, Canada. We are committed to protecting the privacy and personal information of our users and their tenants in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
This Privacy Policy explains what information we collect, how we use it, how we protect it, and what rights you have regarding your data.
1. Information We Collect
We collect information that you provide directly when using GatherDwell, including:
- Account information— your name, email address, and password when you register for an account.
- Tenant personal information— names, email addresses, phone numbers, dates of birth, and other details you enter about your tenants.
- Property data— addresses, unit details, specifications, and other information about your rental properties.
- Lease and payment records— lease terms, rent amounts, payment history, expenses, and financial data related to your properties.
- Usage data— information about how you interact with the platform, including pages visited, features used, and session duration.
2. How We Use Your Information
We use the information we collect for the following purposes:
- Providing the service— to operate, maintain, and deliver the features of GatherDwell, including account management and authentication.
- Managing properties and tenants— to enable you to track properties, manage tenant records, monitor lease agreements, and record payments and expenses.
- Generating reports and analytics— to produce financial reports, occupancy analytics, and portfolio performance insights for your use.
- AI-powered assistant— when you use the GatherDwell AI chat feature, your property data queries are processed through a third-party AI service (Google Gemini via OpenRouter) to generate responses. Only the specific data needed to answer your question is sent to the AI model. Your data is not used to train AI models and is not retained by the AI provider after processing.
- Improving the platform— to understand how the service is used and to improve functionality, reliability, and user experience.
- Communication— to send you service-related notices, security alerts, and important updates about your account.
3. How We Store and Protect Your Information
We take the security of your data seriously and implement appropriate technical and organizational measures to protect it:
- Encrypted authentication— user credentials are securely hashed and stored using industry-standard encryption methods. All data is transmitted over HTTPS.
- Per-user data isolation— your properties, tenants, and financial data are fully isolated from other users. No other account can access your information.
- Hosted infrastructure— GatherDwell is hosted on reputable cloud infrastructure providers that maintain physical, network, and application-level security controls.
4. Sharing of Information
We do not sell, rent, or trade your personal information to third parties. We may share information only in the following limited circumstances:
- Service providers— we share data with trusted third-party providers who help us operate the platform. These providers are bound by contractual obligations to protect your data and use it only for the purposes we specify. Our current service providers include:
- Clerk — authentication and user management (processes your email address, name, and login credentials)
- Turso — database hosting (stores your property, tenant, and financial data)
- Vercel — application hosting and analytics (processes anonymized usage data)
- OpenRouter / Google — AI assistant processing (when you use the chat feature, your queries and relevant property data are sent to Google Gemini via OpenRouter to generate responses; data is not retained or used for training)
- Legal requirements— we may disclose information if required to do so by law, regulation, legal process, or enforceable governmental request.
- Protection of rights— we may share information when we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.
5. Your Rights Under PIPEDA
Under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), you have the following rights:
- Access— you have the right to request access to the personal information we hold about you and to be informed of how it has been used and disclosed.
- Correction— you have the right to request corrections to any personal information that is inaccurate or incomplete.
- Withdrawal of consent— you may withdraw your consent for us to collect, use, or disclose your personal information at any time, subject to legal or contractual restrictions. We will inform you of the implications of withdrawing consent.
- Complaint to the Privacy Commissioner— if you believe we have not handled your personal information appropriately, you have the right to file a complaint with the Office of the Privacy Commissioner of Canada.

6. Data Retention
We retain your personal information for as long as your account remains active and as needed to provide you with our services. If you close your account or request deletion of your data, we will delete your personal information within a reasonable timeframe, unless we are required by law to retain it for a longer period. You may request the deletion of your account and associated data at any time by contacting us.
7. Cookies and Tracking
GatherDwell uses session cookies solely for the purpose of authentication and maintaining your logged-in session. These cookies are essential for the platform to function and are not used for advertising or profiling. We do not use third-party tracking cookies, analytics trackers, or advertising pixels on our platform.
8. Children’s Privacy
GatherDwell is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected personal information from a child under 13, we will take steps to delete that information as promptly as possible.
9. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make changes, we will update the “Last updated” date at the top of this page. We encourage you to review this policy periodically. Your continued use of GatherDwell after any changes constitutes your acceptance of the updated policy.
